Week 6 • Lesson 3 of 5 • 45 mins
Presentations in Minutes, Not Evenings
Brief first, then Gamma, Beautiful.ai or Canva — and the slide audit before you present.
Presentations in Minutes, Not Evenings
The slow part of a presentation was never typing. It was nudging boxes, hunting for images and fixing alignment at midnight. AI presentation tools remove that part.
What they don't remove is the thinking — what your audience needs to believe by the last slide. Tools that skip that step produce decks that look finished and say nothing.
1. The tools and what each is good at
| Tool | Strength | Best for |
|---|---|---|
| Gamma | Generates structure, text and imagery from a prompt or document in about a minute | First drafts, internal decks, web-style presentations |
| Beautiful.ai | Smart templates that re-layout automatically as you add or remove content — you can't "break" a slide | Polished client decks where consistency matters |
| Canva (Magic Design) | Uses your Brand Kit — colours, fonts, logos | Teams already designing in Canva |
| PowerPoint / Google Slides with Copilot or Gemini | Works inside the company's approved tools | Corporate settings with IT rules |

2. Think first: the one-page brief
Before any tool, answer these. Five minutes here saves an hour of regenerating.
Audience: who exactly, and what do they already know?
Goal: what should they DECIDE or DO after this?
Their objection: what will make them say no?
Evidence: the 3 facts, numbers or examples that answer it
Length: how many minutes do I actually have?
Then give the brief to the AI, not a one-line topic.
3. Prompting a deck that says something
Create a [N]-slide presentation from the brief below.
Rules:
- One idea per slide. Slide titles are full sentences that state
the point ("Late follow-ups lose us 1 in 4 leads"), not labels
("Follow-ups").
- Maximum 3 short bullet points per slide. Prefer one number or
one image over bullets.
- Slide 2 states the recommendation up front.
- Include one slide that answers the objection directly.
- Final slide: the specific decision or next step I'm asking for.
- Do not invent statistics. Where evidence is missing, write
[ADD DATA].
[PASTE BRIEF]
The three-bullet limit matters: people can read or listen, not both. Slides overloaded with text make the audience read ahead and stop listening to you.
4. The Gamma workflow
- Paste your brief and prompt (or import a document you already wrote — often better).
- Review the outline before generating the slides. Reorder and cut there; it's faster than fixing slides.
- Generate, then go slide by slide: replace every
[ADD DATA], check every claim. - Swap generic stock images for your own screenshots, product photos or charts — or images you generated to a specific brief.
- Apply your theme or brand colours.
- Present from the tool or export to PDF / PowerPoint for colleagues.
5. Branded decks in Canva
- Set up the Brand Kit once: logo, colour codes, heading and body fonts.
- Use Magic Design with your brief; pick the layout closest to your brand.
- Save your best result as a template for the team, so the next deck starts on-brand.
6. The slide audit
Before you present, check every slide:
- Title test: reading only the titles, does the story make sense?
- Glance test: can the point be understood in three seconds?
- Evidence test: is every number real, sourced and current?
- Image test: does every image add meaning, or is it decoration?
- Ask test: is it clear what you want the audience to do?
You can ask AI to run the first pass:
Audit this deck. For each slide give: (1) its main point in one
sentence, (2) anything that is text-heavy, (3) any claim that
needs a source. Then tell me which slides could be cut.
⚠️ Common mistakes
- Starting from a topic instead of a brief. You get a generic deck about the topic.
- Too much text. Keep every slide to three bullets or fewer.
- Generic stock images. They signal "made in a minute".
- Unchecked numbers. AI will happily put a plausible statistic on a slide.
- Pasting confidential data into a tool your company hasn't approved.
What's next: not everything needs a meeting. Next, short recorded videos that replace status meetings.

Hands-on Practicals
Use Gamma.app to create a deck for an imaginary startup. Spend exactly 2 minutes on it. How does the quality compare to a 2-hour PowerPoint you've made in the past?
Create a presentation in Canva using Magic Design. Upload your brand style guide (colors, fonts, logo). Generate a 10-slide deck that consistently uses your brand elements. This is how you scale presentation creation.
Take 3 AI-generated presentations. Audit each for: 1) Text-to-image ratio, 2) Visual variety, 3) Audience relevance. Identify patterns in what makes slides engaging vs. overwhelming.
